Employee services – high-quality infrastructure and administrative services. Such as infrastructure functioning control, Preparation of new offices according to customer’s requests, Decoration of the office placement according to every possible equipment, Organization stuff removal, new working places establishment, Coordination of the security group work, Taking care of Guests, Delegations, etc.

Requirements:

Must have:

Responsibilities:

Primary responsibilities:

• Tracking of all team tasks and responsibilities
• Cooperation with other GL functions requiring ES support or working with ES on the same tasks (e.g.: Finance, Legal)
• Cooperation with Vendors, including regular meetings with the most important Vendors and taking an active part in GL Tenders
• Preparing letters, presentations, and reports
• Infrastructure functioning control
• Implementing and maintaining office standards, procedures, and plans using office administrative systems (Google Drive, Google Calendar, ERP, HelpDesk, etc.)
• Providing high-level services (prompt responses, timely help, customer-focused communication, etc.)
• Performing any tasks from the ES head, not specified in the job description by demand.
• Taking part in department audits
• Leading construction of new areas

Specialized responsibilities:

• Regular sync-ups with team
• Regular 1×1 with team-members
• Regular sync-ups with ES Head
• Regular update of policies and procedures of the department
• Confluence update and support
• Supervision of Reception performance
• Space utilization reports preparation, creation of growth forecast (maintaining statistics and scenarios, arranging seating for projects, teams, etc.)
• Maintenance of office map app (map updating, relevance control, creating tasks for drawing maps of new spaces, etc.)
• Implementation of massive relocations (including communication with PMs, coordinators, directors, projects, etc.)
• Managing the document flow with BC
• Creation of ES Digest
• Passing internal and professional external pieces of training to upgrade the level of knowledge
